Overview:
A small interior decorating firm seeks a personal assistant/ firm administrator. This person must be organized, flexible, proactive and would enjoy the challenges of a busy and growing design firm.

The ideal candidate would have the ability to easily interact with clients and vendors with a high level of professionalism. He or she would have excellent communication skills (both verbal and written).

Major responsibilities include:
Manage the company’s design software system – creating proposals and invoices.
Reconciling bank statements and processing expenses in timely manner.
Managing/ organizing each client’s creative file.
Placing orders and keeping tracking information updated.
Serving as company’s front-line to public.
Scheduling installations and overseeing logistics.
Assisting in preparation for client meetings.
Updating and stocking studio library.
Assisting with online and marketing strategy.
General administrative.

Job requirements and qualifications:
Design degree is not mandatory, but an eye for design is necessary.
Must be willing to properly learn the design software system.
Must be able to capture client details and accurately update databases; attention to detail is a must.
Strong initiative and problem solving skills.
Understanding of basic accounting.
Should be confident, courteous and a self-starter and natural multi-tasker.

Position requirements:
Bachelor’s degree or equivalent combination and experience.
High proficiency in Mac and Microsoft Office and strong internet search skills.
Ability to quickly learn designer software system a must.

Additional details:
Knowledge and/or experience within the interior design community is helpful.
Salary to be discussed during interview.
Approximately 18-20 hours per week.
Availability to work a flexible schedule is needed to meet the needs of the business.
