Belk Building Receptionist, Business Office / Payroll Backup
Overview:
First and foremost, the Belk Building Receptionist is responsible for instilling a warm, welcoming first impression for students, families, employees, and visitors whether it is their first time on campus or if they have worked at the school for multiple years. They are responsible for answering telephones, routing, and screening calls, greeting visitors with a friendly smile, responding to inquiries from the public, and providing information about the organization. This position will also assist with clerical duties as assigned.
Responsibilities:
• Provide a warm welcome, and friendly smile to visitors, employees, and families as they enter the Belk Building
• Assist guests and visitors in obtaining a temporary visitor’s ID badge for them to wear while on campus using the school’s Raptor system
• Assist visitors with directions to locations throughout the campus
• Professionally answering telephones in a timely manner, as well as routing and screening calls
• Receive and be aware of events and their locations on both campuses
• Act as liaison with Administration, Lower School, Middle School, Upper School, and all support services
• Support other departments with clerical duties as needed
• Cover main switchboard daily during lunch and work overtime to cover absences as needed
• Sort and process incoming mail and invoices; distribute to appropriate Department Heads for coding and approval
• Keep updates of daily sporting, arts, and theatre events
• Share updated information regarding athletic events and calendar changes
• Advising employees of deliveries received at the reception desk
• Assist Finance Office with student billing, and other clerical duties as needed
• Assist with Accounts Payable by entering check requests, reimbursements, invoices and maintain vendor records in Veracross, file invoice reports and check fund records
• Process emergency AP check runs in the absence of AP Coordinator
• Review Accounts Payable statements and communicate with vendors to retrieve copies of unpaid/past-due invoices
• Understand compliance issues around accounts payable processes (W-9, 1099, taxes, etc.)
• Serve as payroll back-up: Work with Benefits & Payroll Specialist to learn and complete monthly payroll process, enter employee, and contract hours into ADP, process manual checks, calculate LWOP, and update monthly comparison reports
• File new and updated employee contracts as needed by Director of Human Resources
• Update and modify layout of Human Resource documents as needed
• When fire or security alarms sound, inform Plant Operations Manager, giving location of alarm
• Inform Plant Operations when repairmen are on campus
• Perform other duties as assigned
Qualifications:
• High school diploma or its equivalent required, some college preferred
• Prior receptionist, administrative assistant, and/or customer service experience required
• Excellent interpersonal and communication skills, outgoing, and mirrors the culture of the school
• Technologically proficient – working knowledge of Microsoft Office programs, including Excel, Word and Outlook
• Overachieving attitude and exceptional work ethic
• Versatile and team-player
