Development Administrator

A Development Coordinator responsible for providing administrative and support to the Team, ensuring efficient project operations, and maintaining organized project records. They will play a crucial role in facilitating communication, managing documentation, coordinating administrative processes, and ensuring proper payments to vendors to keep construction projects on track and within specified timelines.

Documentation management
• Organize and maintain project documentation, including contracts, permits, drawings, change orders, and other project-related documents
• Ensure proper filing, version control, and accessibility of project documents for team members
Communication coordination
• Facilitate communication between various project stakeholders, including architects, engineers, consultants, contractors, subcontractors, suppliers, and internal team members
• Coordinate meetings, conference calls, and correspondence related to development projects
Project coordination
• Assist in project scheduling, including tracking milestones, deadlines, and critical path activities
• Coordinate with different departments to ensure timely availability of resources, materials, and equipment needed for development activities
• Support in obtaining necessary permits and licenses for construction projects
• Assist in obtaining, reviewing and compliance of vendors’ insurance certificates
Reporting and analysis
• Prepare external project progress reports and status updates for tenants and stakeholders
• Assist in obtaining and reviewing vendor monthly pay applications and lien waivers to ensure compliance with project requirements
Other responsibilities
• Obtaining signatures for various types of documents
• Assisting other departments with certified and overnight mail
• General administrative functions

Qualifications and skills:
• Previous experience in Construction and Development in the Commercial Real Estate Industry is preferred
• Strong organizational and multitasking skills
• Excellent communication and interpersonal abilities
• Ability to multitask and thrive in a fast-paced environment
• Proficiency in Microsoft Office Suite, project management software and other relevant tools
