Design Assistant
Overview:
Circa Interiors is seeking a highly motivated and organized design assistant to work directly with the owner/lead designer.
Requirements include:

• A good foundation in materials, finishes, colors, and furniture selections and specification
Responsibilities Include:
• Partnering with designers in all aspects of space planning and interior detailing within a given project and budget to assure that all FF&E and interior architectural finishes are integrated and documented, ordered, and delivered
• Manage the Principal’s calendar with a keen ability to discern shifting priorities and appointments as appropriate
• Maintain database of client contacts and vendors
• Oversee mail/packages, vendor contracts, and filing systems
• Maintain client and vendor relations, acting as a point of contact as needed
• Assist with research, sourcing, and pricing
• Assist the team and management in maintaining project schedules and deadlines
• Present and communicate design concepts internally and externally, orally and in writing
• Coordination and production of presentation materials in all design phases, including planning, material/ furnishing selection, and presentation
• Sampling, CFA’s and vendor follow through
• Assist with the creation of proposals, POs, and invoices.
• Updating project management software
• Create and maintain design binders
• Assist with creating client presentations
• Update and maintain the resource library
• Errands and general Designer Assistance
Work with designer on concept and design development:
• On assigned projects produce and assist as needed; Conceptual sketches, sources, vendor options, materials, colors, floor plans and all conceptual options and choices for the project
• Enter all product items into the project management system and keep them updated
• Assist designer with quoting and implementation of concepts
• CAD, drafting, sketches, renderings, etc.
Initial client set-up:
• Create project binders or digital folders for new clients/projects
• Create client custom room list
• Create project skeleton in project management software
Assist with client meetings on and off site:
• Accompany designer and CEO to client meetings when necessary
• Take notes, measurements, photos and record details of meetings
• Assist Designer in project concept, assembly and presentation
Design presentation assistance:
• Manage product images (sourcing, scanning, saving and printing)
• Prepare presentations for designers
• Prepare product prints, framing, and other materials needed for presentations
Product sourcing, quoting and pricing:
• Assist in creating proposals or estimates for clients
• When needed, work with Designers on all aspects of sourcing, quoting, specifying and pricing
• Assist in ensuring accurate incoming and outgoing information to and from the vendors
General duties:
• Assist with Installations
• Manage CFA’s and sampling
• Manage all design department filing and binder upkeep
• Update and maintain resource library
• Run errands and provide general designer and expeditor assistance
Compensation:
• Base Salary + Commission
• Benefits package including insurance and 401k
