Administrative Financial Assistant
Overview:
The Administrative Financial Assistant is a versatile role that encompasses both financial management and administrative responsibilities. This position plays a vital role in supporting the operations of our furniture and home decor retail store, ensuring efficient financial processes and smooth office management.
Responsibilities:
Financial management
• Oversee daily financial reconciliation reports, ensuring accuracy and timely completion
• Manage cash drawers, including counting, verifying, and depositing cash following established procedures
• Monitor and analyze financial transactions to identify discrepancies or potential issues, promptly reporting them to the store manager and CFO
• Collaborate with the store manager to develop and implement effective financial control measures and procedures
• Coordinate and track store expenses, including vendor payments, invoices, and reimbursements. Works with CFO
• Maintain accurate records of financial transactions and receipts
• Order supplies and maintain inventory levels to support store operations
• Ensure compliance with financial policies, procedures, and legal requirements
• Address any financial-related inquiries or concerns from customers or employees in a professional and timely manner
Administrative support
• Perform general office tasks, such as filing, typing, copying, scanning paperwork, and answering phone calls
• Prepare forms and documents for supervisors
• Maintain daily reconciliation reports and bank deposits for CFO
• Coordinate with the bank for necessary change orders
• Ensure control of all cash drawers and account for all cash and credit card receipts
• Notify the CFO when bag inventory is low
• Communicate office supply needs to CFO for ordering
• Print various forms and reports required for daily operations
• Print and cut tags for merchandise labeling purposes
• Provide name tags for new employees and merchants
Qualifications:
• Associate or Bachelor’s degree in finance, accounting, or a related field is preferred
• Experience in a financial management role, preferably in the retail industry
• Strong knowledge of financial reconciliation processes and procedures
• Proficiency in cash management and handling, including reconciling cash drawers and preparing deposits
• Familiarity with financial reporting and budgeting
• Excellent organizational skills and attention to detail
• Strong analytical and problem-solving abilities
• Ability to work independently and efficiently manage time
• Exceptional communication and interpersonal skills
• Proficiency in relevant financial software and tools
• Familiarity with inventory management systems is desirable
• Experience in an administrative or office support role
• Proficient in office tasks such as filing, typing, copying, and scanning
• Strong attention to detail and accuracy
• Excellent communication and interpersonal skills
• Ability to handle multiple tasks and prioritize effectively
• Basic knowledge of office software and equipment
