Heart Math Tutoring (“HMT” or “Heart”) is a national nonprofit based in Charlotte, NC with a mission of ensuring all elementary students develop the strong foundation in math and enthusiasm for academics needed for long-term success. HMT gives young students successful experiences in math through 1:1 tutoring during the school day, delivered by supervised volunteers. To date, 98% of Heart students have made growth on pre/post assessments that meets goals set by elementary math specialists at University of North Carolina at Charlotte and Charlotte-Mecklenburg Schools, and 90% of teachers annually report that student confidence increases because of the program. HMT seeks a Finance Director to oversee all financial operations at Heart Math Tutoring. The Director will manage a bookkeeper and interface regularly with HMT’s CEO and Board Finance Committee to ensure HMT’s financial operations support successful delivery of its mission. The Director is accountable for ensuring HMT receives an unmodified rating in its annual audit, is compliant with board-approved and legal policies, manages expenses in line with approved budgets, and produces timely and accurate financial reports and budgets for organization staff and board leadership. This is a part-time, salaried position (20 hr/wk) reporting to the CEO. The position is based in Charlotte, NC with a mix of remote and in-person work anticipated.
• Oversee financial operations at Heart Math Tutoring utilizing best practices and ensuring compliance with all board-approved and legal policies. This includes keeping an up-to-date Accounting Manual and overseeing its implementation as well as maintaining strong Internal Controls
• Manage HMT’s Board Finance Committee in collaboration with CEO. Prepare regular financial reports, draft committee meeting agendas, record meeting notes, and leverage committee members’ expertise to ensure strong financial operations at HMT
• Lead annual budget process (spring) in partnership with CEO, owning the creation and presentation of the budget through a collaborative process with budget managers and HMT’s leadership team. Ensure budget managers accurately draft budget needs to support HMT’s mission and goals alongside the organization’s annual planning process. With CEO, analyze and present budget requests to Board.
• Lead the annual audit process in the fall (HMT’s fiscal year ends June 30th), ensuring a “clean”, unmodified opinion. Interface with financial auditors. Prepare requested materials. Obtain support and information needed from others including from Development and HR staff
• Manage finance-related vendors including accounting contractors, Business Insurance, SAMs Registration, and others. Work closely with the HR team to manage HR vendors such as payroll and benefits providers and ensuring tax and benefit plan compliance, including all applicable tax filings
• Lead HMT’s cash management strategy in partnership with CEO and Finance Committee
• Manage HMT’s Bookkeeper, currently a ~15 hour/week, remote employee who manages and records day-to-day transactions, maintains records, reconciles accounts, provides reports to budget managers, manages Quickbooks, and represents finance on the Business Operations Team (HR, IT, Office Management).
• Conduct minimal administrative work to maintain timely recordkeeping (e.g. print, deposit checks)
Ensure HMT’s expenses are within approved budgets:
• With bookkeeper, ensure budget managers receive regular and ad-hoc reports to manage their budgets and to fully leverage available resources to support HMT’s mission
• Identify cost savings opportunities along with budget managers
• Update HMT policies to ensure proper controls on expense authorizations. Manage contract approval limits in line with the board-approved Delegation of Financial Responsibility Policy, working with other departments to prepare requests
• Support accurate expense projections as part of financial reporting ahead of board meetings
• As needed, update HMT’s account structure to best track expenses categories reflecting any updates to HMT’s programmatic and organizational structure
• Passion for Heart’s mission- Works diligently and enthusiastically to achieve Heart’s mission and inspires others to do their best on behalf of students Demonstrates a strong belief that all students can learn and have the potential to perform at or above grade level
• 7+ years of experience as a Controller or Finance Manager role or similar, relevant experience
• Knowledgeable in best practices and accounting standards (nonprofit preferred)
• Exceptional attention to detail and technical skills, especially with Microsoft Excel and Quickbooks
• Integrity and Sound Judgement – Strong judgement related to Heart’s mission, balancing tradeoffs and needs of different constituents to maximize our effectiveness for students, including discretion and maturity with confidential information
• Strong relationship-builder and team player – able to work across multiple teams and manage an employee. Understands and supports multiple perspectives important to Heart (e.g. funding needs, board perspective, program goals, school district preferences, operational constraints, staff needs)
• Project management experience, involving attention to details and organizing others
• CPA preferred but not required
