The Sr. Administrative Coordinator is an energized, organized professional who supports the Development Operations and Field Fundraising teams, coordinates and aligns fundraising operations databases and tasks, and is the Office Manager for the Charlotte East Coast Hub office.

This is a full-time hourly position, with Monday through Friday working hours, reporting to the Director of Development Operations. During continued precautions for the COVID pandemic, this position can work remotely from home with daily trips to the office for specific tasks, or can work full-time in the COVID-safe office. Employee must live within a 20-minute drive to our office, located near Monroe & Sharon Amity Roads in Charlotte

Support the Development Operations and Field Fundraising teams through coordinating and logging all aspects of the fundraising process

• Managing internal communications across the development operations team to log and track 400+ grant opportunities and deadlines each year in Salesforce and internal databases
• Processing online donations on a daily basis and assisting the development systems manager with the processing and alignment of other income as needed
• Coordinating donor acknowledgment efforts, including sending thank you notes and pledge invoices
• Liaising across the development team and organizational leadership with a critical perspective to ensure accurate, timely, and consistent status updates for each grant opportunity
• Utilizing Salesforce to log all donor touchpoints
• Providing significant support for the grant writers and the development team as a whole throughout the entire process of a grant application, including creating temporary grant proposal documents for grant applications that require submission through online portals and creating Slack channels for each grant opportunity for the development team
• Electronically filing and categorizing all completed grants
Provide administrative support to the Development Team
• Administrative support for the Chief Advancement Officer, to include scheduling meetings, managing the calendar, and coordinating travel
• Coordinating and booking travel and travel-related logistics for field fundraisers as needed
• Providing event-related support, including designing and sending invitations, tracking RSVPs, working with vendors, and inputting all relevant event data into Salesforce
• Scheduling weekly Development Operations team meetings, coordinating meeting agendas, arranging conference room and AV requirements, and taking meeting minutes
• Assisting the field fundraisers and marketing team with the creation of donor-facing materials from templates
Charlotte Office Manager responsibilities
• Bring a creative and energetic approach to the office environment through planning regular office social gatherings and acting as the “face” of the Charlotte office
• Promote and exhibit the Moishe Mindset to set a positive tone as the first touchpoint of the organization for visitors, donors, partners, and vendors
• Serve as the primary contact for office vendors, and schedule and interface with all office related vendor appointments
• Maintain office credit card expenses and process all office invoices and expenses
• Maintain and regularly update all office supplies and equipment, including shipping and mailing materials
• Answer office phones and direct calls appropriately
• Provide general day-to-day support for the office, employees, and visitors

• A minimum of three years full-time administrative work experience, including office management, data entry, and managing others’ calendars
• Bachelor’s degree in a related field; four years additional full-time work experience may be substituted for the degree
• Full competency with Microsoft Word, Excel, PowerPoint, Google Docs, Google Sheets, and Google Calendar and strong technical skills
• Demonstrated strong written and verbal communication skills
• Demonstrated excellent interpersonal, organizational, and communication skills
• A welcoming, positive attitude and excellent customer service skills, including an affable telephone presence
• Detail-orientation, resourcefulness, and learns quickly
• Proven strong time-management skills with the ability to prioritize multiple tasks and deadlines
• Ability to work independently and self-sufficiently with a geographically spread team
• Experience with donor management information, databases, and donation lifecycles strongly preferred; proficiency in Salesforce or other CRM platforms strongly preferred
• Equally enthusiasm about data processing and promoting a fun, social office culture

Compensation and benefits:
• This is an hourly position with a starting salary range of $40,000 – $42,000 assuming you meet the minimum requirements
