Event Coordinator
Overview:
Event Coordinators at the U.S. National Whitewater Center (USNWC) work collaboratively to plan and execute private group bookings as well as assist in the execution of Whitewater events. Private bookings include corporate, weddings, school, military, community, and other categories. Event Coordinators are also responsible for follow-up and reporting associated with private events. The scope of internally produced events includes, but is not limited to, single and multi-day festivals, Whitewater Race Series (WRS) events, Whitewater Film Series events, River Jam concerts, Yoga, Adventure Dining, and other established programming.
Responsibilities:
Event coordination
• Organize the planning, execution, and follow-up associated with Whitewater events, programming, and private group bookings
• Coordinate across all USNWC departments leading up to and after each event to ensure consistent messaging, general preparedness, and a positive overall guest experience
• Communicate with clients in a polite, clear, and confident manner using a variety of mediums – email, phone, and face-to-face interaction
• Answer questions regarding group outings, activities, venues, and catering, and provide clients with guidance in order to best match our products and services with their needs
• Assemble proposals, facilitate transactions, and welcome guests upon arrival
Research and development
• Maintain accurate knowledge of activities, products, and services offered by the USNWC
• Develop comprehensive knowledge of the existing annual event calendar and ensure the continual growth and development of event programming while staying consistent with the Whitewater brand
• Research and understand evolving standards in our industry suggesting changes to improve operational efficiency and overall quality of guest experience as needed
Qualifications:
• A Bachelor’s degree in Business Administration, Hospitality, or Event Management is preferred
• 2-3 years of experience in event management, customer service, or another related area
• Able to work well under pressure and make decisions independently
• Outgoing, friendly, and confident with exceptional communication skills
• Proficiency utilizing Microsoft Office Suite programs in daily work
• Maintain availability to work evenings, weekends, and holidays with frequency
Physical requirements
• Must be able to lift 50+ pounds
• Must be able to stand long periods of time – i.e. throughout the duration of any given event with appropriate break time
• Must be able to work in an outdoor environment where climate constantly changes
