Executive Administrative Assistant
Overview:
The Executive Administrative Assistant will manage the office and personal affairs of busy executives with utmost confidentiality, patience, and white-glove service. The role will be a combination role of office management, executive administration, budget management, and concierge planning. Resourceful and diligent are two essential traits for the ideal candidate. The role will require 10% travel.
Responsibilities:
• Manage the schedules of the executive team
• Answer phone inquiries, directing calls, and providing basic company information
• Take memos, maintain files, organize documents, and conduct research
• Arrange travel, accommodations, and itineraries for the executive team
• Coordinate with accounting team to analyze and prepare project cost analyses
• Prepare expense reports for executives
• Prepare information and research for executive needs
• Help plan company events and meetings
• Supervise real estate management team
• Facilitate personal vehicle acquisition and disposition
• Additional Duties as Needed
About you:
• Energetic and comfortable in a fast-paced, dynamic environment with multiple projects on hand at once
• Able to document, organize and manage large amounts of information with the utmost confidentiality
• Self-directed, resourceful, entrepreneurial and able to work without constant supervision
• Answer phone inquiries and direct calls for the executive team
• Able to conduct basic financial analyses
• Good sense of humor
Qualifications:
• Bachelors Degree in business administration preferred
• 5+ years experience supporting executive teams or office management
• IAAP Certified Administrative Professional or professional certification in office management preferred
• Excellent written and verbal communication skills
• Excellent time management, prioritization skills
• Attention to detail
• Valid Driver’s License and safe driving record preferred
• Experience with Budget Management & Cost Analysis
• Comfort with Cloud-Based Technology and Virtual Office Management Tools (Dropbox, OneDrive, Virtual Mailboxes, etc.)
• Experience with Travel/Logistical Planning and Expense Management
• Proficiency in Microsoft Office Applications (Outlook (calendar management & email), Word, PowerPoint, and Excel) required
Compensation and benefits:
• Compensation range: $50,000-75,000 + Discretionary Bonus – Dependent on Experience
