Overview:
We are looking for someone to take on the role as Somerset Apartment Management Group’s Office Manager in our headquarters in Charlotte, NC. We are looking for is someone who is enthusiastic about joining a small team poised for growth. This person is exceptional in managing multiple tasks from various departments, showing strong organizational skills with the ability to prioritize tasks. They should have experience with managing needs of those within the office, as well as relationships with the vendors necessary to fulfill the office’s needs. We need this person to be flexible in their role and a creative self-starter who is able to work within an entrepreneurial environment and support multiple departments at once.

Key responsibilities:
• Acts as the first point of contact for internal facilities issues
• Monitors and orders supplies for office
• Calls for maintenance on equipment as needed
• Assesses needs of facility and makes recommendations in terms of office equipment and supplies
• Manages arrangements for lease negotiation agreements, construction and maintenance/housekeeping
• Assists in organizing assigned executive’s time, schedule, meetings, files, calendar and contacts
• Composes and prepares various forms of correspondence, including letters, memorandum, reports and other written material for corporate employees of the company
• Schedules and coordinates meetings, conference calls and travel arrangements for corporate employees of the company
• Screens visitors, mail, email and calls and handles items within the limits of delegated authority
• Responsible for handling and organizing confidential and time sensitive material
• Answers phones and greets visitors as needed
• Assists in the collection and verification of time sheets from all properties

Skills and requirements:
• Mininum of 5 years office management experience.
• Quickbooks experience.
• Prior executive administration experience.
• Advanced office computer skills, including Microsoft Office.
• Strong written and verbal communication skills.
• Strong interpersonal communication skills and telephone skills.
• Ability to organize and coordinate the activities of others.
• Ability to interact well with all levels of management.
• Must be able to exercise sensitivity, discretion, judgment, tact and diplomacy.
